A TYPICAL
CLIENT DISCUSSION:
A client described some of the problems confronting his growing
business. The firm already owned some computers that were on a
network. They had a growing client base and needed a more efficient
way to track and share information about their clients internally.
A lot of the paperwork was labor intensive. They wanted to be
able to look across their client base and create a better client
profile for better service.
Contact management and tracking clients are part of the tools
that come with Microsoft's Small Business Server 2000. Centralizing
information is the perfect database application. Realizing that
the web offered new opportunities for improved service to their
clients, they were seeking a secure way for clients who had e-mail
to send files for review. The security offered by Windows 2000
as part of Small Business Server meets these demands.
A friend of one of the partners in the firm did the web site.
The site did not offer any useful extras such as links to forms,
answering frequently asked questions or providing electronic copies
of the firms quarterly newsletters. Instead it offered the
standard litany of resumes and history of the company. We spent
considerable time in explaining options available to make the
web site more useable, informative, and appealing.
He also related that he was looking for a phone system that offered
the rich features of a PBX system but was not cost prohibitive.
He was intrigued to hear about the advances in computer telephony
that integrates the phone system with the computer. Since he spends
considerable time on the phone with clients, he thought it was
great that using caller id, the telephony software would be able
to bring up the clients file while on the phone so he could make
notes during the conversation. Previous e-mail and fax communications
would also be at his fingertips while speaking with a client.
He could fax an appropriate form to a client with a few easy keystrokes.
While on the phone, he could review the clients history
and provide better advice.
He welcomed having a roadmap or IT Audit that organized his business
needs and mapped out possible solutions. A total solution for
our client would address these business needs.
